2. Which Data We Collect

We process personal data that you actively submit to us (e.g., via forms) as well as technical data when visiting the website.

• Contact details: Name, email, phone number, address.
• Order data: Property details, square metres, photos, requested service.
• Usage data: IP address, browser type, access times (technically necessary).

3. Contact Form, Quote Request & Chat Assistant

If you send us enquiries via the contact form, quote calculator or chat assistant, we process the data you provide to handle your enquiry, prepare a quote and contact you for any follow-up questions.

Chat assistant: The chat can answer general questions and prepare details for a quote. If you provide an email address or phone number in the chat, these details are not automatically forwarded as an enquiry. The chat first asks explicitly whether you agree that your details may be forwarded to Kacper Ruta for a quote or contact follow-up. Only after your confirming reply, for example "Yes, I accept the privacy policy", is the enquiry forwarded internally to GlasRein.ch.

Protection from external transfer in chat: Personal data from the chat remains on our own VPS server unless you explicitly consent. We do not send clear-text contact details to external AI services such as Gemini. Email addresses, phone numbers, names and addresses are replaced with neutral tokens such as [email], [phone], [name] or [address] before any technical AI request.

The chat may process in particular: your message, property details, town/postcode, requested service, email address, phone number, technical session identifier, the page from which the chat was used, and a shortened technical IP identifier for security and abuse prevention. You may withdraw consent at any time by email to kontakt@glasrein.ch.

4. Data Transfer

We do not pass on your personal data to third parties unless:

• You have given your express consent.
• This is necessary for the processing of the contractual relationship with you (e.g., payment service providers, accounting).
• There is a legal obligation to do so.

Technical AI processing: To answer general chat questions, we use Gemini by Google as a technical service provider. Before such a request is made, clear contact details such as email address, phone number, name or address are replaced on our VPS with neutral tokens. Google/Gemini therefore does not receive clear-text contact details from the chat. The remaining conversation context required for the answer (for example town, property type or window count) may technically be transmitted to and processed by Google. Full contact details are forwarded to GlasRein.ch for quote or contact follow-up only after your explicit consent in the chat.

5. Cookies & Analytics

Our website uses cookies to improve user-friendliness. You can set your browser so that no cookies are stored. Please note that in this case, you may not be able to use all functions of the website to their full extent. If we use analysis tools (such as Google Analytics), this is done anonymously.

6. Data Security (SSL)

For security reasons and to protect the transmission of confidential content (such as your quote request), this site uses SSL or TLS encryption. You can recognize an encrypted connection by the fact that the browser's address line changes from "http://" to "https://" and by the lock symbol in your browser line.

7. Retention Period

We retain your data only for as long as necessary to fulfil the purposes or as required by statutory retention periods (e.g., 10 years for accounting-relevant data for commissioned services).

8. Your Rights

You have the right at any time to:

• Information: Which data we have stored about you.
• Correction: Correction of incorrect data.
• Deletion: If the data is no longer needed.
• Revocation: You can revoke your consent to data processing at any time by email.
